Are Late Payers Damaging Your Business?
One of the biggest problems small businesses face is trying to collect payment after the work has been done. If late payers are crippling your business there are some effective strategies you could follow that will help you to collect more monies in timely fashion.
Be Clear from Day One
Right from the beginning you should be clear about how and when you expect to get paid. Agree payment terms verbally with the buyer at the beginning. It is then a good idea to give all quotes in writing and make it clear again what your payment terms are on the front of the quote just below your price. Remember to attach a copy of your full terms and conditions with all quotes or better still print it on the back.
Before You Supply Any Goods
Carry out a credit check on your potential customer before you even think of supplying them. You should also carry out an annual check on your existing customers’ just in case their financial situation has changed for the worse.
At Point of Delivery
Check if your goods delivered or services supplied were satisfactory. There is absolutely no point in delaying any potential complaints. If the customer is unhappy try and resolve any outstanding issues immediately. If any goods were damaged uplift them and issue any credit notes quickly.
Email & Post all Invoices
As soon as the goods are supplied or the work has been completed email a copy of the invoice directly to your contact in the finance department and stick a hard copy in the post. If you only send invoices by post then you are at the mercy of the post office and your customers might use the excuse that they never received it!
Print Your Bank Details on the Invoice
This will allow your suppliers to pay you online. Often the reason why some customers are late in paying is that they are just too busy to sign a cheque and post it. Do not worry about fraud as there is very little anybody can do with just your sort code and bank account number.
Don’t be Timid
Once payment is due, phone and immediately ask for payment. Try and get any further excuses for non payment out in the open at this stage so that you can proactively deal with them.
If All Else Fails
Have clear plans in place and start the process rolling as soon as payment is overdue by thirty days. A good idea is to take a step back from the process and get your legal agent to send out a demand letter with threats of further costs and interest charges.
Persistent Late Payers
If businesses constantly flaunt your payment terms you have to decide if they are worth all the trouble of supplying them in the first place. If you still insist on doing business with them then perhaps it is now a good idea to think about increasing your profit margins or supplying them with cheaper more inferior products at the same price.

Networking, Listening And Missed Opportunities
When you have been out at a networking event have you ever been so wrapped up in what you have to say and concentrating on promoting your business that that you have stopped listening and miss valuable opportunities. Or have you found yourself making quick judgments about people which have closed your mind to what they are saying or, do you find yourself in fear of competition so avoid talking to those whose businesses are similar to your own?
If the answer is yes you could be severely reducing your opportunities and doing you and your business a huge disservice.
Recently at a major entrepreneurial networking event in London I was party to a classic case of missed opportunity.
I was participating in a group discussion about what we wanted to be no.1 at and I mentioned my networking site, explaining it was a website of resources to help business people get the most of their networking activities. Another participant then said she ran some networking groups and was going to expand into another area, geographically far removed from her current base, but which coincidentally happened to be my own. Seeing an obvious link I immediately said that I could perhaps help her and was immediately met with the response ‘I don’t need your help’ and the conversation brought abruptly to a halt.
Needless to say I was taken aback by this response (and judging by the looks on the faces of fellow participants I wasn’t the only one) this person had never met me before, had not spoken with me and had absolutely no idea how I could genuinely help her.
What she didn’t know was that I could possibly help her in three significant ways:
Since the territory she wanted to expand into is where I already have a number of well established networking groups and a major network of contacts I would be able to spread the word about her groups. Since her groups appeared to be complementarity to my own I could see a huge opportunity for a potential strategic alliance bringing benefit to both businesses.
I was also prepared to share with her my own experiences and key contacts to help her decide where the best opportunities may be And I would also have offered her a page on my website at no cost devoted to promoting her organisation and groups.
What I found particularly ironic was the fact that one of the key messages of the event was about creating links with other business people, offering and taking advantage of opportunities and promoting an ethos of helping others. And what is probably even more ironic is that as a fellow networking professional who runs groups and provides networking training shouldn’t she have known better?
There are many business networking techniques you should consider to help you network more effectively however the tips to take from this example are:
1. Be open to what someone has to say and don’t make assumptions about how someone can or can’t help you until you have listened.
2. If someone offers help thank them for the offer. You might decide there is no scope for taking discussions further however at least show your appreciation for their offer of help.
3. Don’t assume that everyone is out there to ‘sell’ you something most people like to help.
4. View related businesses, not as competition to be avoided, but as potential strategic partners who with you can help rather than hinder your business.

Equipment For Your Coffee Shop
It is very important that you invest in the right equipment for your coffee shop. You don’t want to open your business and then realize it is seriously lacking elements you need to be a quality business for your customers. Finding out at that point is going to result in you having to invest more money, and that is never productive. Keep in mind that the right equipment for your coffee shop may be very different than what someone else needs for theirs.
Most customers that visit your coffee shop are going to want a cup of delicious tasting coffee. While they will doctor it up differently, they will still want the same basic drink. A couple of large coffee pots are very important to invest in. Hopefully your coffee shop will go through 10 or 12 fresh pots of it every single morning. Obviously a coffee pot system that only brews and heats one pot of it at a time just isn’t going to work.
If you will be grinding your own coffee then you should get a grinder that can handle large amounts of it at one time. Most coffee shops prefer to by the grounds from a supplier though. You will have to decide which is a better option for your coffee shop business.
An espresso machine will help you make specialty drinks for your customers. If you have a large coffee shop you may want to have two of them in place. They offer you the ability to make hundreds of different drinks. Make sure all of your employees are well trained on how to operate it. You don’t want to have trouble with it due to operator errors.
Not all coffee shop equipment is the same size or the same price. You should avoid those with features that you don’t intend to lose. Otherwise you will just be wasting money that you could use for something else. You want to check out the warranty information as well if you are buying new equipment. Sometimes used coffee shop equipment can be a good investment. Other times though it can end up costing you a fortune for repairs as well as done time that doesn’t impress your customers at all.
It is vital to the success of your coffee shop that you always have all of your equipment operating as it should. Inspect it regularly so that you can identify any problems before they become big ones. Make sure it is all installed properly and that routine maintenance is taken care of. All employees should be well trained so that they don’t accidentally cause damage to your coffee shop equipment.
Pay close attention to the set up for your coffee shop equipment as well. You don’t want your employees having to wait for another to complete something before they can complete an order. This will bottleneck your operation and as a result your customers will be waiting much longer than they should for their purchase.
With some careful planning and research, you won’t have any problems finding the right equipment for your coffee shop. You need to make sure it is going to serve the needs of all your customers regardless of the type of drink they order from your menu. You also want it to be durable and long lasting so you aren’t investing in new equipment all the time. Taking good care of the equipment you have in your coffee shop will allow you to keep your investment in it to a minimum.

Are Drive Up Coffee Shops Successful?
A drive up coffee shop can offer plenty of benefits to those looking for a quality drink they can purchase quickly. As a parent, it can be difficult to get all the kids out of the car to go in and get a cup of coffee. These drive up window service locations make it very convenient though. Even if you are just on your way to work you can get what you want without parking and going inside.
There are some challenges for these types of coffee shops to be aware of though. The limited amount of space in there means it all has to be set up very efficiently. Employees have to be able to take orders, make them, and get each customer back on the road quickly. If you are crunched for space you won’t be able to get enough employees in there to allow it to flow as it should.
The overhead expenses are definitely lower. You don’t have to pay for a large building, high electric bills, keep the bathrooms stocked for customers, or decorate. There is also less equipment to be used because you have a smaller space to put it in. Any drive up coffee shop location really has to maximize the space they have.
A drive up coffee shop is nothing more than a condensed version of the real thing. However, it is established in a location that is very easy to get to and from. The size of the building or the trailer or the business will depend on how many employees you plan to have in place there. It also depends on how elaborate of a menu you want to offer.
A quality menu that is full of delicious drinks will help encourage customers to come back. Even though a drive up coffee shop offers convenience the drinks still have to taste very good to them. You have to run a very efficient operation in order to keep things moving along. Customers will get irate if they place their order and have to wait for a long time to get it.
Make sure you offer cup holders and secure every lid at a drive up coffee shop. You will have to do your part to make sure the customers have a convenient way to hold the drinks. They may be ordering several to take to their co-workers that morning so make sure it is possible.
There is plenty of flexibility for hours when it comes to drive up coffee shops. Some choose to be open all night. Others choose to only be open from 5 am until 12 pm to get the morning coffee drinkers. It is up to you what you want to do with your drive up coffee shop business. It also depends on the amount of traffic you are going to generate during specific times of the day.
Drive up coffee shops have plenty to offer to customers. They are fast and convenient but also offer the great products they have been searching for. Since the overhead costs are lower for this type of business you can also offer it to them at a lower price. The will really love the fact that they are saving money and still getting exactly what they want.

Succeeding In Your Coffee Shop
Do you have what it takes to operate a coffee shop? These days consumers are looking for more than a cup of either regular or decaffeinated coffee that they will drink black or with a mixture of cream and sugar. They want a full line of drinks that include lattes, cappuccino, espresso, and other favorites.
The quality of the products you serve at a coffee house is very import. People want the very best tasting coffee products available. You will need to choose your suppliers carefully so that you everyone will come back for more. Don’t make the mistake of trying to save a few bucks by cutting back on the quality as it is going to cost you more in the long run.
Make sure you always have a good supply of cups and lids too. Nothing is going to annoy your customers more than being told you are out of lids or something similar that makes it seem like you aren’t prepared. Keep a close eye on your inventory so you always have plenty of ingredients on hand. Your customers will come to know your coffee shop as being very reliable.
Even though most of us are somewhat impatient, waiting in line for a cup of coffee is something we simply don’t have the time to do. Many of your customers will want their favorite drink to start their morning but they are going to have to get to work on time. Most bosses aren’t too forgiving about being tardy, especially for something as frivolous as having to get your morning coffee.
In order to keep the line moving swiftly, you are going to have to invest a great deal of time in the training of your staff. Before they are turned lose out there to greet the morning rush, they need to know how to make every drink you offer and how to operate the machinery to get it done. Make sure you hire individuals that are friendly and willing to learn.
The location of your coffee shop is something you need to take your time to consider. You definitely want it to be accessible by customers as they go to work. You should try to get a location that offers plenty of foot traffic as well. This way your customers can come over on their breaks during work hours too instead of just in the morning.
If you want to operate a coffee shop, you are going to have to be an early riser. Many people are up and about to get their coffee as early as 5 am. Are you willing to get up this early in the morning to operate your coffee shop? Many coffee shop owners typically get up around 3 am so they can shower, get to the coffee shop, and have things ready to go when those early risers start showing up.
When you take the time to really find out what consumers want from a coffee shop, you will find you have the ability to provide it. They aren’t asking for anything more than quality products that they can purchase even very early in the morning. They want to be confident they are going to get a delicious tasting drink and still make it on time. They also want the service to be fast and friendly each time they come to the coffee shop. If you are willing to offer these things to customers then many of them will be very loyal.
